Outpatient Guide for Japanese Health Insurance Holders

This guide explains the outpatient consultation process for international patients enrolled in the Japanese public health insurance system.

Reception Desk Locations & Medical Facilities

The main General Reception (Sogo Uketsuke) is located on the 1st Floor of Kameda Clinic.
If this is your first visit, please make sure to check in at the 1st-floor reception desk of Kameda Clinic before proceeding anywhere else.

Please note that depending on the medical department you are visiting, your actual consultation may take place in either Kameda General Hospital or Kameda Clinic.

About Appointments

  • We use a "time-slot" appointment system, meaning multiple patients are scheduled within the same time block.
  • Please understand that consultation times may be delayed depending on the medical conditions of other patients.
  • If you require medical tests before seeing the doctor, you may check in up to 1 hour prior to your scheduled appointment.

How to Make an Appointment

A. If you have a Referral Letter (Shokaijo)
Ideally, your current doctor or clinic should contact us to arrange your appointment. However, if you already have the physical referral letter with you, you may call our Appointment Center directly to book a slot.

B. If you do NOT have a Referral Letter
Please call the Appointment Center. Depending on the department's availability, we will guide you on how to book a future slot or register for a same-day walk-in visit.

Important Notice
For identity verification purposes, we will make a copy of your Passport or Residence Card at the reception desk. Thank you for your cooperation.
We must verify your health insurance card at every visit. If you forget to bring it, you may be required to pay the full cost of your medical expenses out-of-pocket temporarily.

Step-by-Step Guide for Your Visit (Kameda Clinic)

STEP1

Reception (Clinic 1F)

First-time patients must fill out a registration form at the General Reception (Sogo Uketsuke) on the 1st floor to receive a Patient Registration Card (Shinsatsuken).

Department Reception / Test Reception

Please wait near your department. You will be called for your consultation by your reception number.

Consultation

Depending on your condition, the doctor may order tests before completing the consultation.

Payment (Automated Payment Machine / Jido Seisanki)

Accepted Payment Methods: Cash / Credit Card / Debit Card

STEP5

Receiving Medication (In-hospital Pharmacy / Innai Yakkyoku)

If prescribed medication, you will receive a Prescription Ticket (Okusuri Hikikaeken) during payment. Please take this to the In-hospital Pharmacy on the 1st floor of the Clinic to collect your medicine.

[Important] Additional Fees (Non-covered by Insurance)

Our hospital is a designated Regional Medical Care Support Hospital and Tertiary Emergency Medical Center. Based on the national system, in addition to regular medical consultation fees (covered by insurance), we request full out-of-pocket payment for the following fees.

Appointment Fee (Yoyakuryo)

We request a reservation fee (Sentei Ryoyo-hi) for consultations by appointment. This fee applies if your consultation begins (the time you are called via the consultation call monitor) within 30 minutes of your appointment or check-in time.

Appointment Fee (Tax Included)

  • Medical: 1,100 JPY (From June 1, 2025)
  • Dental: 550 JPY (For new appointments made on or after June 1, 2025)

When the Appointment Fee Applies

1. Checked in by your appointment time

Base time: Your Scheduled Appointment Time
e.g., 9:00 AM Appointment -> You pay the fee if called by 9:30 AM

2. Checked in after your appointment time

Base time: Your Actual Check-in Time
e.g., 9:00 AM Appointment, but you checked in at 9:15 AM -> You pay the fee if called by 9:45 AM

  • The official "start time" of your consultation is automatically recorded by the system the moment your number is called on the waiting room monitor.
  • Cases other than the above are considered "non-appointment" (walk-in). You will not be charged the Appointment Fee, but please expect a longer waiting time.
  • The Appointment Fee is calculated automatically by our computer system based on electronic records. Please note that we cannot respond to individual inquiries regarding specific waiting times on the day of your visit.

For Patients Visiting the Emergency & Critical Care Center (Fee for Visits Without a Referral Letter)

The "Sentei Ryoyo-hi (Special Fee)" for visiting without a Referral Letter (Shokaijo) applies ONLY to patients seeking care at the Emergency & Critical Care Center.

About Referral Letters (Shokaijo)
Kameda Medical Center is an institution providing advanced, specialized medical care. To support the division of roles between "local clinics" and "general hospitals" promoted by the Japanese Ministry of Health, Labour and Welfare, we strongly request that first-time patients bring a Referral Letter (Shokaijo) from their primary care physician or a local clinic.
